3. How We Use Information

We use information for the following purposes:

  • To create, authenticate, maintain, secure, and support your account.
  • To build and maintain your application profile and job preferences.
  • To provide job discovery, filtering, skipped-job tracking, job reports, and application status tracking.
  • To upload, store, parse, retrieve, generate, and transmit resumes, cover letters, and related application documents.
  • To fetch employer application requirements, classify application questions, prefill answers, generate AI-assisted answers or documents, and request user review where appropriate.
  • To submit job applications to employers, recruiters, job boards, and applicant tracking systems when you direct or authorize HyrAI to do so.
  • To create and operate application-specific email addresses, process employer replies, process verification messages, classify application-related email, and provide notifications.
  • To send in-app, email, or push notifications about application activity, review requests, employer messages, account activity, service updates, and support issues.
  • To provide customer support, debug errors, monitor service health, prevent fraud or abuse, enforce our Terms, and protect users, HyrAI, employers, and third parties.
  • To comply with legal obligations, respond to lawful requests, establish or defend legal claims, and complete transactions such as mergers, financing, or asset transfers.

4. AI-Assisted Processing

HyrAI uses AI service providers to help answer application questions, generate review guidance, tailor resumes or cover letters, parse or infer profile fields, and classify application-related email messages. Inputs to AI systems may include profile information, resume text, job descriptions, application questions, employer messages, and other information needed to perform the feature you request.

AI outputs can be incomplete, inaccurate, outdated, biased, or unsuitable for a specific employer or legal requirement. You should review AI-generated content before submitting an application or relying on it. HyrAI does not use your personal application data to make employment decisions, and HyrAI is not the employer or recruiter for any listed position.

Where provider controls are available, we configure AI services so that personal application data is not used to train general-purpose models. AI providers may still process data to provide, secure, and monitor their services according to their own terms and policies.

5. How We Disclose Information

We may disclose information as described below:

  • Employers, recruiters, job boards, and applicant tracking systems. When you direct HyrAI to apply to a job or approve an application, we may submit your profile information, application answers, resume, cover letter, application-specific email address, and related materials to the relevant third-party systems.
  • Service providers and processors. We use vendors for authentication, hosting, database storage, file storage, AI processing, email routing, push notifications, job data, analytics or diagnostics, security, and support. Examples may include Clerk, Supabase, OpenAI, Mailgun, Firebase/Google services, Fantastic.jobs, app stores, hosting providers, and similar vendors.
  • Third-party application workers or automation infrastructure. For certain applications, HyrAI may use browser-based or worker infrastructure to create accounts, process verification links, scrape application questions, or submit application fields on third-party employer systems as authorized by you.
  • Legal, safety, and enforcement recipients. We may disclose information to comply with law, respond to legal process, enforce our Terms, protect rights and safety, investigate fraud or security issues, and prevent abuse.
  • Business transaction recipients. We may disclose or transfer information as part of a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or due diligence for such transactions.
  • With your direction or consent. We may disclose information when you ask us to or when you otherwise consent.

We do not sell personal information for money. We do not knowingly share personal information for cross-context behavioral advertising. If our practices change, we will update this Policy and provide any legally required choices.

6. Sensitive Information and Employment Applications

Some employment applications ask for sensitive or legally regulated information, including demographic, disability, veteran, work authorization, sponsorship, background, or eligibility information. You should provide such information only if you are comfortable doing so and it is accurate.

HyrAI may store, use, and transmit this information to employers or ATS providers when needed to complete an application you request. HyrAI does not use this information to make hiring decisions. Employers and ATS providers may use information according to their own policies and legal obligations.

7. Legal Bases for Processing

Where privacy laws require a legal basis, we process personal information based on one or more of the following: performance of a contract with you, your consent, our legitimate interests in operating and improving HyrAI, compliance with legal obligations, and protection of vital or public interests where applicable. For sensitive information, we rely on your explicit consent or another legal basis permitted by applicable law.

8. Retention

We retain information for as long as reasonably necessary for the purposes described in this Policy, including providing the service, tracking applications, resolving support issues, maintaining security, preventing fraud, complying with law, and establishing or defending legal claims.

Information Typical Retention Considerations
Account and profile information Usually retained while your account is active and for a reasonable period afterward for legal, security, support, and business records.
Documents and generated application materials Usually retained while your account is active or until you delete the document, request deletion, or the information is no longer needed, subject to backups and legal exceptions.
Application records, ATS responses, and employer messages Usually retained as needed to show application history, process employer communications, handle disputes or support, and maintain security and legal records.
Security logs and diagnostics Usually retained for a shorter operational period unless needed for security, fraud prevention, legal compliance, or debugging.
Job listing and ingestion data May be retained to maintain the job feed, improve matching, detect duplicates, and monitor data quality.

Deletion from backups, logs, and archived systems may take additional time. Information already submitted to an employer, recruiter, job board, or ATS is controlled by that third party, and you may need to contact that party directly.

9. Account Deletion and Data Requests

You can initiate account deletion from the Profile screen in the HyrAI app. When account deletion is initiated, account access is disabled and we begin processing the account closure and related data request according to applicable law and our retention obligations.

You may also request access, correction, deletion, portability, or other privacy rights by emailing support@stiode.store. We may need to verify your identity before fulfilling a request. We may decline or limit a request where permitted by law, including where information must be retained for security, fraud prevention, legal compliance, dispute resolution, or rights of others.

10. Your Privacy Rights

Depending on where you live, you may have rights to know or access personal information, receive a copy of personal information, correct inaccurate information, delete information, restrict or object to processing, withdraw consent, appeal a decision, opt out of certain processing, or limit certain uses of sensitive information.

California and other U.S. state residents may have rights under state privacy laws, including rights to know, access, correct, delete, obtain a portable copy, opt out of sale or sharing, limit certain sensitive information uses, and not be discriminated against for exercising privacy rights. HyrAI does not currently sell personal information or share it for cross-context behavioral advertising.

European Economic Area, United Kingdom, and similar-region users may also have rights to lodge a complaint with a data protection authority. To exercise rights, contact support@stiode.store.

11. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. These safeguards may include authentication controls, access controls, request-size limits, rate limiting, secure transport, signed document URLs, logging, and vendor security measures. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

12. International Transfers

HyrAI and its service providers may process information in the United States and other countries. These countries may have privacy laws that differ from those where you live. Where required, we use appropriate safeguards for international transfers.

13. Children

HyrAI is intended for job seekers and is not directed to children under 16. We do not knowingly collect personal information from children under 13. If you believe a child provided personal information to HyrAI, contact us and we will take appropriate action.

14. Third-Party Services

HyrAI may link to or interact with third-party services, including employer career sites, ATS platforms, job boards, app stores, authentication providers, email providers, AI providers, and cloud infrastructure providers. Their privacy policies govern their own processing. HyrAI is not responsible for third-party privacy or security practices.

15. Changes to This Policy

We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify you, such as updating the effective date, posting a notice, or providing in-app notice where appropriate. Your continued use of HyrAI after an updated Policy becomes effective means you acknowledge the updated Policy.
